The minimum we need, and no more

Kalman Commons collects only the minimum data required to operate safely and ethically. Businesses, vendors, venues, and artists never receive consumer data. Member identity stays in a private eligibility system; everything published or shared is aggregate and dereferenced.

Guiding principle

Separation by design

We separate who you are from what the community decides. Your identity is used only to confirm eligibility (including age 25+) and to keep you informed. Preferences — including any optional cigar-related indication — are aggregated, never attributed to you, and never sold.

Member identity

Held only in a private eligibility system. Not shared with vendors, venues, or other members.

Age verification

Date of birth is used to confirm you are 25+. We retain the verification status, not a public record of your birth date.

Individual preferences

Anonymous or pseudonymous. Aggregated for decisions; not published or attributed.

Cigar preferences

Aggregated only. Never linked to an individual.

Vendor reports

Dereferenced demand categories only — counts and bands, never identities.

Public information

Decision summaries, not personal records.

Retention

How long we keep things

Identity records

Retained while you are an active member.

Raw preference inputs

Deleted after a decision is finalised where possible.

Aggregate results

Retained as anonymous decision records.

Vendor reports

Retained as aggregate, dereferenced records.

Attendance data

Aggregated or operational only.

Intake submissions

Stored securely for review and, once actioned, kept only as needed to operate the community.

Your data

Access, correction, and contact

You may ask what we hold about you, request correction, or ask us to remove your record. Email commons@kalman-systems.com.au and we will respond within a reasonable time. Where a matter involves legal or regulatory obligations, it may be handled through the appropriate authorised channel.
